Oh I had plenty of those, what with duplicates, unsigned & unreadable ones it's quite a task to identify them all.

A big problem is the old gimmer who is not PC friendly & find's it hard to do them without making them a right mess that needs printing over several pages, which I then have to scan in & re piece together before making a PDF of them.

We kept our ECN number index generation simple, a book with #1 in, whoever wanted #2 had to write #2 & their initials in before they can have it & so on. It works with very few double bookings.

I upgraded the hand written form several years ago to be a word doc, then a word form.
Does for 99.9% of them, we even get to add photo's to them.

I can't remember why but I get them to keep the original word doc in a central place, then once the master print is signed by the dept head we keep a copy in a red folder to remind us that it has been issued.
When they eventually get returned from the various other heads of departments that count they also go into this red folder to wait for me to scan them in at the end of the week.

I really don't fancy the job of creating an index for them :(

Matthew Lamkin.

Or the ever famous...ECN# 1324 which in the description says see ECN#
1293 which in the description says see ECN# 1192 which says...

And the beats continue...

Matthew,

Hopefully your ECNs have more description of the changes than our
popular "Updated" or "See Mark-ups".

Not the dreaded ECN.

I have just finished scanning in & converting 2000+ to PDF (now that was
a long job).

These should be the official company record of ALL changes to a product
& it's manufacturing methods.

People leave, die or plain forget, an ECN will keep the info for years
beyond the life of the product.

They can be simple hand written notes or complicated computer generated
forms etc.
As long as an ECN is used to record all changes to the product.

Now that I have them all in PDF format & accessible over our intranet,
it is very easy for people to view them when they look at a products
history on the main computer database (which could be another place to
keep them I suppose).

ECN = Engineering Change Notice, the official document that authorizes a
change to an Engineering document, e.g. assembly drawing, schematic,
etc. Used as part of the change control process. Required by military
and ISO9000.
